Position Overview:

As a Business Office Assistant, you will play a crucial role in supporting the efficient administrative and financial operations of our corporate office. You will be responsible for a variety of tasks that ensure the smooth functioning of our daily business activities, contributing directly to the overall success of our hotel management operations.

Responsibilities:

  • Provide comprehensive administrative support to the corporate office, including managing phone calls, emails, and correspondence.
  • Maintain and organize physical and electronic filing systems, ensuring accuracy and easy retrieval of information.
  • Assist with basic bookkeeping tasks, including processing invoices, expense reports, and vendor payments.
  • Prepare and distribute reports, presentations, and other documents as needed.
  • Coordinate meetings and appointments, including scheduling, preparing agendas, and taking minutes.
  • Manage office supplies and ensure adequate inventory levels.
  • Assist with onboarding new employees by preparing necessary paperwork and coordinating logistics.
  • Assist with special projects and other administrative tasks as assigned by management.
  • Maintain confidentiality of sensitive company information.

Qualifications:

  • High school diploma or equivalent required; Associate's degree in business administration or a related field preferred.
  • Proven experience (1-2 years) in an administrative or office support role.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) is essential.
  • Experience with basic bookkeeping or accounting software is a plus.
  • Excellent organizational and time-management skills with the ability to prioritize tasks and meet deadlines.
  • Strong attention to detail and accuracy.
  • Exceptional written and verbal communication skills.
  • Ability to work independently and as part of a team.
  • Professional demeanor and strong work ethic.
  • Familiarity with the hospitality industry is a plus.
