Kelly ® is currently seeking an experienced Administrative Assistant III to provide critical operational and administrative support to a top oil and gas client located in Downtown Houston, Texas. This key position ensures seamless coordination of events, manages expense reports, supports travel arrangements, and provides day-to-day administrative assistance with the utmost professionalism and accuracy.
\n Location: Downtown Houston
\n Contract: Long-term
\n Pay: $34 per hour
\n What’s a typical day? You’ll be:
\n Providing Office Administration & Support: \n

    \n\t
  • Maintain an organized and professional office environment\n\t
  • Manage incoming communications and correspondence\n\t
  • Prepare reports, presentations, and spreadsheets with a high level of accuracy\n\t
  • Provide general administrative support (copying, filing, document organization)\n\t
  • Manage calendars, schedule meetings, and organize conferences\n\t
  • Prepare and reconcile expense reports\n\t
  • Monitor costs and expenditures; assist with purchasing and vendor documentation\n\t
  • Order and coordinate catering for meetings and events\n
\n Event Coordination: \n\n
    \n\t
  • Plan and execute departmental & companywide events (holiday celebrations, charity initiatives, culture & engagement activities)\n\t
  • Coordinate messaging with Internal Communications\n\t
  • Manage event budgets and purchasing (SAP requisitions, vendor negotiations, expense tracking)\n\t
  • Maintain communication and feedback for continual event improvement\n
\n Travel & Scheduling: \n\n
    \n\t
  • Serve as the lead for domestic & international travel coordination\n\t
  • Arrange travel itineraries and manage travel approvals\n\t
  • Ensure compliance with expense reporting and company travel policies\n
\n

  • Have an associate’s degree (or higher education)\n

  • Have a minimum of 3+ years’ Administrative Assistant experience\n\t
  • Have prior experience managing travel, schedules, and expense reporting for senior-level executives\n\t
  • Are results-focused, detail-oriented, problem-solver, and a self-starter\n\t
  • Have strong interpersonal skills to build relationships across departments and with senior management\n\t
  • Are highly proficient in Microsoft Office Suite\n\t
  • Are experienced in handling confidential information\n
